Data Protection Policy
This Data Protection Policy (“Notice”) sets out the basis which Accounting ExpertPte. Ltd. and all its related companies (collectively referred to herein as “Acctg Expert”, “us”, “we” or “our”) may collect, use, disclose or otherwise process personal data of our clients in accordance with the Singapore Personal Data Protection Act (“PDPA” or “Act”).
This Notice applies to personal data in our possession or under our control, including personal data in the possession of organisations which we have engaged to collect, use, disclose or process personal data for our purposes.
Personal Data
1. As used in this Notice:
“clients” means an individual who (a) has contacted us through any means to find out more about any services we provide, or (b) may, or has, entered into a contract with us for the supply of any services by us; and
“personal data” means data, whether true or not, about a client who can be identified: (a) from that data; or (b) from that data and other information to which we have or are likely to have access.
2. Depending on the nature of your interaction with us, some examples of personal data which we may collect from you include name, identification numbers such as NRIC, FIN, work permit and birth certificate, residential address, email address, telephone number, nationality, gender, date of birth and marital status.
3. Other terms used in this Notice shall have the meanings given to them in the PDPA (where the context so permits).
Collection of Personal Data
4. We collect Personal Data in the following ways:
a) when you submit any forms relating to any of our products and services;
b) when you enter into any agreement or provide other documentation or information in respect of your interactions with us, or when you use our services;
c) when you interact with our staff, for example, via telephone calls, letters, face-to-face meetings, social media platforms and emails;
d) when you interact with us via any of our websites or use services on any of our websites;
e) when you request that we contact you or request that you be included in an email or other mailing list;
f) when you respond to our promotions, initiatives or to any request for additional Personal Data;
g) when your images are captured by us via CCTV cameras while you are within our premises, or via photographs or videos taken by us or our representatives when you attend events at our premises;
h) when you are contacted by, and respond to, our marketing representatives;
i) when we receive references from business partners and third parties, for example, where you have been referred by them;
j) when you engage us through any social media on the Internet and on the social media itself;
k) when we seek information from third parties about you in connection with the products and services you have applied for; and/or
l) when you submit your Personal Data to us for any other reason.
5. If you provide us with any Personal Data relating to a third party (eg information of your spouse, children, parents, and/or employees), by submitting such information to us, you represent and warrant to us that you have obtained the consent of the third party to provide us with their Personal Data for the respective purposes.
Purposes for Collection, Use and Disclosure of Your Personal Data
6. We collect, use and disclose your Personal Data for the following purposes:
a) responding to your queries, feedback and requests;
b) verifying your identity and processing payments;
c) managing our administrative and business operations and complying with internal policies and procedures;
d) providing updates and other communications on developments relating to us;
e) facilitating business asset transactions (which may extend to any mergers, acquisitions or asset sales) involving us;
f) matching any Personal Data held which relates to you for any of the purposes listed herein;
g) preventing, detecting and investigating crime and analysing and managing commercial risks;
h) facilities management (including but not limited to maintaining the security of our premises);
i) managing the safety and security of our premises and services (including but not limited to carrying out CCTV surveillance);
j) in connection with any claims, actions or proceedings (including but not limited to drafting and reviewing documents, transaction documentation, obtaining legal advice, and facilitating dispute resolution), and/or protecting and enforcing our contractual and legal rights and obligations;
k) conducting investigations relating to disputes, billing or fraud;
l) managing and preparing reports on incidents and accidents;
m) meeting or complying with any applicable rules, laws, regulations, codes of practice or guidelines issued by any legal or regulatory bodies which have jurisdiction over us (including but not limited to responding to regulatory complaints, disclosing to regulatory bodies and conducting audit checks, due diligence and investigations);
n) financial reporting, regulatory reporting, management reporting, risk management, audit and record keeping purposes;
o) project management;
p) providing media announcements and responses; and/or
q) any other purpose reasonably related to the aforesaid.
7. In addition, we collect, use and disclose your Personal Data for the following purposes:
a) performing obligations in the course of or in connection with our provision of the goods and/or services requested by you;
b) verifying your identity;
c) responding to, handling, and processing queries, requests, applications, complaints, and feedback from you; and processing payment or credit transactions.
8. If you do not interact with us in the manners specified above, we may collect, use and/or disclose your Personal Data for the following purposes, in accordance with the Act:
a) the purposes for which we have specifically obtained your consent; and/or
b) the purposes for which you have provided your Personal Data to us.
9. If you have provided your Singapore telephone number(s) and have indicated that you consent to receiving marketing or promotional information via your Singapore telephone number(s), then from time to time, we may contact you using such Singapore telephone number(s) (including via voice calls, text, fax or other means) with information about our products and services.
10. When the need arises for Personal Data to be collected, used or disclosed for purposes other than the ones originally consented for, we will obtain your fresh consent in that regard, where necessary, in accordance with the Act.
11. As we rely on your Personal Data to provide products and services to you, you should ensure that all Personal Data submitted to us is complete, accurate, true and correct.
12. The purposes listed in the above clauses may continue to apply even in situations where your relationship with us has been terminated or alteredin any way, for a reasonable period thereafter (including, where applicable, a period to enable us to enforce our rights under a contract with you).
Disclosure of Personal Data
13. We will take reasonable steps to protect your Personal Data against unauthorised disclosure. Subject to the provisions of any applicable law, we may disclose your Personal Data for the purposes listed above (where applicable):
a) where such disclosure is required for performing obligations in the course of or in connection with our provision of the goods and services requested by you; or
b) to third party service providers, agents and other organisations we have engaged to perform any of the functions with reference to the above mentioned purposes.
Retention of Personal Data
14. We may retain your personal data for as long as it is necessary to fulfil the purpose for which it was collected, or as required or permitted by applicable laws.
15. We will cease to retain your personal data, or remove the means by which the data can be associated with you, as soon as it is reasonable to assume that such retention no longer serves the purpose for which the personal data was collected, and is no longer necessary for legal or business purposes.
Access to and Correction of Personal Data
16. If you wish to make (a) an access request for access to a copy of the personal data which we hold about you or information about the ways in which we use or disclose your personal data, or (b) a correction request to correct or update any of your personal data which we hold, you may submit your request in writing or via email to our Data Protection Officer at the contact details provided below.
17. Please note that a reasonable fee may be charged for an access request. If so, we will inform you of the fee before processing your request.
18. We will respond to your request as soon as reasonably possible. In general, our response will be within ten (10) business days. Should we not be able to respond to your access request within thirty (30) days after receiving your request, we will inform you in writing within thirty (30) days of the time by which we will be able to respond to your request. If we are unable to provide you with any personal data or to make a correction requested by you, we shall generally inform you of the reasons why we are unable to do so (except where we are not required to do so under the PDPA).
Withdrawing Consent
19. The consent that you provide for the collection, use and disclosure of your personal data will remain valid until such time it is being withdrawn by you in writing. Please note that withdrawing consent does not affect our right to continue to collect, use and disclose personal data where such collection, use and disclose without consent is permitted or required under applicable laws.
20. Upon receipt of your written request to withdraw your consent, we may require reasonable time (depending on the complexity of the request and its impact on our relationship with you) for your request to be processed and for us to notify you of the consequences of us acceding to the same, including any legal consequences which may affect your rights and liabilities to us. In general, we shall seek to process your request within thirty (30) business days of receiving it.
21. If you withdraw your consent to any or all use or disclosure of your Personal Data, depending on the nature of your request, we may not be in a position to continue to provide our products or services to you or administer any contractual relationship in place. Such withdrawal may also result in the termination of any agreement you may have with us. Our legal rights and remedies are expressly reserved in such event.
Use of Cookies
22. A cookie is a small piece of information that is placed on your computer when you visit certain websites. The cookies placed by the servers hosting our websites are readable only by us, and cookies cannot access, read or modify any other data on an electric device, nor does it capture any data which allows us to identify you individually. The data collected by the cookies will be used for the purpose of improving your browsing experience on our websites and to enable us to serve you better.
23. Should you wish to disable the cookies associated with these technologies, you may do so by changing the setting on your browser. However, you may not be able to enter certain part(s) of our websites.
Protection of Personal Data
24. To safeguard your personal data from unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks, we have introduced appropriate administrative, physical and technical measures.
25. You should be aware, however, that no method of transmission over the Internet or method of electronic storage is completely secure. While security cannot be guaranteed, we take reasonable efforts to protect the security of your information and are constantly reviewing and enhancing our information security measures.
Accuracy of Personal Data
26. We generally rely on personal data provided by you (or your authorised representative). In order to ensure that your personal data is current, complete and accurate, please update us if there are changes to your personal data by informing our Data Protection Officer in writing or via email at the contact details provided below.
Links to Other Websites
27. Our websites may contain links to other websites operated by third parties. As we do not have any control over such third-party websites, we cannot be responsible for the privacy practices of websites operated by third parties that are linked to our websites. Once you have left our websites, you should check the applicable data protection notice of the third party to determine how they will handle any information they collect from you.
Transfer of Personal Data Outside of Singapore
28. We generally do not transfer your personal data to countries outside of Singapore. However, if we do so, we will put in the necessary contractual arrangements with the overseas recipient for the transfer to be made, and we will take steps to ensure that your personal data continues to receive a standard of protection that is at least comparable to that provided under the PDPA.

Effect of Notice and Changes to Notice
30. This Notice applies in conjunction with any other policies, notices, contractual clauses and consent clauses that apply in relation to the collection, use and disclosure of your personal data by us.
31. We may revise this Notice from time to time without any prior notice. You may determine if any such revision has taken place by referring to the date on which this Notice was last updated. Your continued relationship with us constitutes your acknowledgement and acceptance of such changes.
32. This Notice and your use of this website shall be governed in all respects by the laws of Singapore.
33. We may from time to time update this Data Protection Notice to ensure that it is consistent with our future developments, industry trends and/or changes in legal or regulatory requirements. Changes to this Data Protection Notice take effect when they are posted on our website.
